We're looking for a Program Coordinator to help run our internal AI training program — administering the team's AI tools, keeping meetings, materials, and documentation in order, and organizing the events that keep the team connected. You'll also help keep our business projects on track, including building lightweight automations so the program runs with minimal manual work.
You will collaborate closely with business team members and partners across Ops, Finance, Infosec, and Legal to ensure the program runs smoothly and projects stay aligned. The ideal candidate is naturally organized, diligent in following up without needing reminders, and genuinely interested in exploring new technology tools to enhance their daily tasks.
What you'll do:

Administer the team’s tool stack (Claude, GitHub, and new tools as we adopt them) — access provisioning and offboarding, seat and permission management, license tracking, and first-line troubleshooting for team members.

Work with the Finance team to monitor budget — supporting budget matters related to tooling, licenses, and team events you help organize.

Coordinate the team’s meetings and keep the team’s materials in order

Coordinate team events end-to-end — logistics, scheduling, materials, comms; coordinate with Infosec and Legal to keep projects compliant.

Configure and build lightweight internal workflow automations for the team using popular productivity AI tools
What we’re looking for

Minimum 2-3 years in an operations or business support role — team or program operations, project coordination

Strong communication skills in English

Good time management and follow-through

Detail-oriented & willing to learn about technology, including AI tools.

Exposure to workflow automation or building small internal apps for your team — with tools like Claude, n8n, Zapier, Google Apps Script, or AI coding tools — is a strong plus.
